Join our Human Resources and Administrative Resource team as an HR and Administrative Coordinator, where you'll play a vital role in hiring and retaining quality talent while ensuring smooth daily operations. You will report to the Chief People Officer for human resources responsibilities and to the Office Manager in Seattle for office related functions. Working alongside our HR and Administrative team, you'll be hands-on with recruitment, onboarding, and coordinating employee development opportunities, while also providing essential administrative support. This includes handling paperwork, managing communications, and serving as the first point of contact for employee questions.

We're seeking someone who is conscientious, proactive, and self-aware, and genuinely motivated by serving others and helping them grow. Your strong interpersonal skills and ability to organize and manage time effectively will be crucial as you communicate and interact at all levels of our company, keeping everything organized and ensuring everyone feels supported in their HR and administrative needs. This is a hybrid role working in the office at least two days a week.

Your Role and Responsibilities

Recruitment & Onboarding

  • Communicate with job candidates and verify references and education credentials.
  • Manage job postings and applications for entry-level and non-exempt positions.
  • Coordinate interview scheduling and conduct preliminary interviews.
  • Assist with new employee onboarding and orientation.
  • Issue and verify completion of employment contracts.

Records Management

  • Maintain accurate HR files, records, and documentation with strict confidentiality.
  • Perform periodic audits of HR records to ensure compliance.
  • Utilize HRIS/HRMS software for tracking recruitment and benefits.
  • Document HR policies, procedures, and processes.

Employee Support

  • Respond to queries from employees and managers.
  • Interpret and advise on HR policies and procedures.
  • Develop communication materials (presentations, letters, correspondence).
  • Support managers with performance management processes.

Compliance

  • Ensure adherence to employment laws and company policies.
  • Assist with compliance audits (I-9, EEO-1, etc.).
  • Stay current with changes in employment legislation.
  • Review documents for accuracy, completeness, and compliance.

Administrative Support

  • Collaborate with other team members to ensure smooth office operations and assist with projects; keep team updated on progress on projects & be aware of team members’ calendars & whereabouts to ensure coverage of individual & shared duties.
  • Serve as support for other admin roles or departments with duties such as guest reception, scheduling meetings, arranging travel plans, ordering food and client/employee gifts, and assisting with the research, planning, & execution of key projects.
  • Posting and shipping outgoing FedEx, UPS and USPS Certified Mail on behalf of other departments, opening, sorting, scanning, and/or distributing mail, signing for packages and routing appropriately, managing courier pick-up and delivery, and scanning & depositing checks (as applicable to local office processes).
  • Answering multi-line phones and directing calls, messages, FAX’s and voicemails accurately; ensuring inquiries are addressed in a professional and timely manner.

More About You

  • A 4-year college degree in a relevant field is preferred; however, an equivalent combination of education and work experience will also be considered. 
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and other HR tools.
  • Experience with HRIS, Applicant Tracking Systems, Recognition and Rewards, Ticketing System, and other systems.
  • Experience working in a hybrid environment with a multistate company. 

Skills and Attributes

  • Previous HR experience preferred but not required.
  • Previous general administration experience.
  • Excellent written and verbal communication and interpersonal skills with ability to build relationships across all levels of the organization.
  • Strong organizational abilities with attention to detail.
  • Interest or general knowledge of employment code, laws, etc.
  • Professional and approachable demeanor with high integrity.
  • The ability to learn technology quickly; comfortable with technology and willingness to learn new tools (experience with HR systems is a plus).
  • Skill in managing confidential information with discretion.
  • Effective prioritization and project coordination abilities.
  • Worked in a team structure.
  • Ability to lift 20 pounds.

Compensation and Benefits
We provide a competitive salary commensurate with your experience and skills and offer an annual bonus based on company and individual performance. The salary range for this position starts at $53,200 for those without experience to $66,500 for those who meet all qualifications depending on location and experience.

The salary range applies to current posting and may change in the future. The posted salary range may vary for key factors including, but not limited to, education, job-related knowledge, experience, skill set, and geographic location.
